Background
Mundial Consulting has recently worked with the UK’s second largest gas
distribution company to provide tender support for its voice and data
managed service.
Operating
two of the largest regional gas networks from over 60 sites throughout
the UK, the company’s voice and data network was approaching the end of
its contracted life and no longer reflected its business operation.
In order to
continue to provide essential core services and to reflect the new
requirements of its business, Mundial Consulting was asked to produce a
detailed specification to enable the company to procure a replacement
voice and data network, serviced under a managed service.
The company
was looking to contract with an organisation that had the necessary
experience, understanding of the market place and track record to manage
the production of a detailed invitation to tender (ITT). They required a
high level of managed service intervention backed by ITIL accredited
support in order to match its own high standards of quality and safety.
Intervention Delivered
Using the experience it has established in the telecommunications and
managed services market, Mundial Consulting was able to provide
impartial advice and an approach which addressed the key requirements.
By working
closely with the company, the importance and understanding of its
requirements were accurately reflected in its specification. This
allowed the company to begin to build their assessment criteria and
weight their requirements accordingly.
Mundial
Consulting’s first objective was to gain a thorough understanding of the
business requirements of the company and understand its business
objectives, growth plans and other key business drivers.
The
company’s existing voice and data services needed to be understood so
that a baseline could be established. In order to achieve this, a
detailed audit of the existing voice and data estate needed to be
undertaken.
This
involved not only a physical audit of all sites but a commercial audit
of the existing contractual arrangements with the incumbent suppliers.
The next
stage was to capture and document the requirements of the company so
that an ITT could be produced which clearly articulated the requirements
to prospective bidders.
Once this
stage was completed, and working closely with the procurement team,
technical and service teams a detailed ITT was produced.
Through
ongoing review, Mundial Consulting achieved a key milestone within any
tender management process and
ensured that the requirements accurately reflected the evaluating
panel’s requirements as well as the individual stakeholders.
Results Achieved
Mundial Consulting delivered a structured ITT which clearly articulated
the business requirements of the company as well as its technology
requirements.
The ITT
contained a clear statement of the requirements of the company for their
immediate, medium and long term needs.
The audit also delivered a base line of the company’s existing voice and
data services at all sites as well the commercial arrangements.
Designed to
work to support both the tender and evaluation process, the structure
allowed for the information to be tailored for different audiences and
whilst providing valuable supplier information, maintained the integrity
of the company records.
By
undertaking this work, Mundial Consulting enabled the company to focus
on its core business and to accurately reflect its requirements to the
marketplace in the form of a clear unambiguous ITT.
